The Administrative Assistant to the Associate Network Leader provides administrative support to the various ministries for which the Associate Network Leader (Corporate Secretary/Treasurer) provides executive oversight. These responsibilities include The NWMN Healthy Pastor Initiative, Discipleship, Executive Pastor Cohort, the Network of Women’s Ministers, Women’s Conference, and the Alongside Facilitator. This role requires strong administrative skills coupled with the ability to support the needs of ministers with care and customer service skills. It also requires strong emotional intelligence and the ability to work collaboratively with a team, including cross-training in other team tasks and responsibilities as needed.
Coordinate all processes, activities, meetings, reporting, record keeping, and communication related to the Network of Women’s Ministers initiatives, including Leadership Journey and Alongside. These may be accomplished in conjunction with other contract, support, or volunteer roles.
Coordinate the planning, promotion, registration, communication, budgeting, and hosting of events, as needed, such as Elevate Conference and Women’s Conference. Events may be accomplished in conjunction with other contract, support, or volunteer roles.
Provide administrative support to the development of the Discipleship initiative and ongoing support to the vision of (insert Discipleship initiative vision statement.)
Provide administrative support to church planting and multiplication initiatives.
Serve as the administrative assistant to the Director of Pastoral Care and Credentialing to include managing their calendar, scheduling meetings, and making travel rrangements when needed.
Assist with reconciling the Director of Pastoral Care and Credentialing’s credit card.
Maintain electronic and physical records management systems, including filing and retrieving corporate documents, records and reports.
Maintain and manage departmental event and resource pages on the NWMN website, social media channels, and other media channels as assigned.
Work with the Network’s Graphics Specialist and Media Producer to create promotional materials for initiatives and events.
Coordinate the Network of Women Ministers connection event at Network Conference and work with the Network team to execute event details to deliver exceptional customer service to our ministers and guests.
Maintain confidence of ministers by not disclosing or divulging either directly or indirectly confidential information to others unless first authorized to do so in writing by the Director of Operations.
Demonstrate a positive and professional attitude with and work collaboratively with coworkers, ministers, and other church personnel, whether contact is by mail, telephone, or in person. Foster good working relationships by communicating clearly, showing respect for others, and proactively navigating points of tension.
Maintain a neat and professional work area to include desk, file cabinets, and general office area.
Maintain offsite storage space as needed for event equipment, supplies, and resources.
Support Team members are assigned to assist with office processes, which may include reception coverage, kitchen duty, and other tasks.

Provide friendly and welcoming customer service to ministers and applicants.
Strong writing, grammar, communication, editing, and attention to detail skills.
Maintain strict confidence with sensitive information and documents.
Time Management with the ability to manage multiple project schedules.
Ability to work both independently and cooperatively within a team environment.
Event Coordination proficiency, including promotion, venue selection, vendor management, adherence to the event budget, a proactive approach to handling any challenges, the ability to quickly troubleshoot any problems that should arise on the event day, and evaluating the success of the event.
- Proficient in a Microsoft Windows and Microsoft Office environment including use of Microsoft Word, Outlook, and Excel.

This position has no supervisory responsibilities.
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
This is largely a sedentary role; however, some light movement around the office is expected. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. This role has event responsibilities, which would involve the ability to bend or stand as necessary, lift 30 lbs., and move tables and chairs.
Travel typically includes a day trip to the Network Conference Site Visit. Multi-day trips include a two- day conference in the Winter (Elevate Conference), a two-day conference in the Spring (Women’s Conference), a four-day conference in the Spring (Network Conference), and a four-day conference in the Fall (General Secretary’s Orientation).

Expected Hours and Location of Work
This is a full time position that is Monday through Friday, 8 hours per day, including a half an hour unpaid lunch. The Network offers specific schedule options.
The Northwest Ministry Network is in the process of developing a hybrid work model. This model is subject to change and may not apply to all job descriptions/roles. Currently, the intention of the Network is to implement this model in September 2021. Employees will be expected to work from the Network office three (3) days a week (Tuesday, Wednesday, and Thursday). Employees may work two (2) days a week (Monday and Friday) from wherever they work best (office or remote location) unless their job responsibilities, director’s expectations, unexpected circumstances, or seasonal demands require them to be in the office on these days.
